Department Features

In the system settings, you can decide at what point of the sale you want the system to automatically reserve an item for a customer. The system will run thru the reserve or ordering process automatically to ensure that you have the item for the customer when promised. Considering many companies do layaways it is important not to tag or order an item for a customer that is nowhere near paying off. When a sale hits the specified point (such as when a certain % is paid in) it will automatically check inventory, and if it is available, it will reserve it for the customer. If it is not available, the item is added to a list of items that need to be ordered. The system can even automatically place the order depending on the vendor. A feature unique to EZ Process Pro is that if an item is reserved for a customer, a person with the right permissions can re assign the item to someone else that needs it. However, the system will then ensure you do not forget to get the customer you took from another one.

If a location is on the east coast, you do not want it pulling inventory from a location on the west coast for a single client’s delivery. If your company has multiple distribution centers or you want to limit the inventory sharing in any way, reserve by location is your solution for an organized operations department.

Minimum Stock represents the minimum number of a particular item that you would like to have available to sell at any given time. Tone of the worst thing that can happen to a business is to run out of their best selling items over a busy weekend or holiday. To help eliminate this problem, EZ Process Pro has developed an automated reorder process. Depending on the size of your operation you may want to set a minimum stock by location or if you have a main distribution center you might instead choose to set your minimum stock company wide. With either option, the system will constantly monitor your available inventory so that you and your staff do not have to. If an item reaches its minimum, the system will initiate the ordering process. Buying reports and Just in Time inventory reports can be used to help determine what the minimum should be and it can be adjusted as your market changes.

Items for Po is a list created automatically by the system of items that need to be ordered. There are several different ways an item can reach this list. Items for customers are added to this list from the sale or payment process. When setting up your system, you can pre determine the point in the sale at which you would like the system to auto reserve or auto order items. When a sale reached that point (such as when 60% is paid or financed) then the system will automatically run the reserve process. If the item is not available for reserve, then it is added to the list of “Items for Po” in relation to that customer. When the goods arrive, the item is automatically reserved for the person it was ordered for and the delivery department is notified that it is available for delivery. Another way items end up on the Items for Po list include minimum stock has been reached, a replacement has been requested for a damaged item, or the company buyer has added it thru their analytical reports. Items for PO can be pulled in a combination of ways to provide the buyer with the exact details they are looking for in any given situation. With a couple of clicks the entire list of items or a portion of them can be ordered from their appropriate vendor. Purchase orders can be printed, faxed or even emailed directly from your EZ Process Pro system.

A purchase order can be created using the Items for PO report, Just In Time Inventory Report, Inventory Buying Report or manually using a Create Purchas Order for Stock option. If you buy from any of our directly connected vendors, the purchase order process can even be automated saving you both time and money. A manual Purchase order is almost as fast an automated one. There is no tedious keying as there is on other software to add items to the Purchase order. A few point and clicks later, and your are ready to send it out. A process that in the past may have taken you hours, will now take only a few minutes. Since the system is able to identify the purpose of each item you can even choose to mix purchase one purchase order with customer and stock items or to keep them separate. We give you the power and flexibility to operate your business how you prefer.

The purchase order tracking in EZ Process Pro is extremely comprehensive. It covers everything you need to easily track your orders and make sure that they are arriving when expected. The estimated date of arrival generated in this area updates your staff companywide about the status of any stock or customer order. This feature alone increases productivity companywide because your staff no longer has to reach out to operations every time they have a question regarding the status of an item, and operations does not have to stop their work to constantly answer their questions. A great way to have an overview or your day, week or month is thru the use of a calendar. The receiving calendar will show you what is expected to arrive each day in a calendar format. The calendar is automatically updated using the estimated date of arrival in the purchase order tracking feature. By clicking on any purchase order that list listed in the calendar, more information is available including the items that are expected to arrive. Knowing what is coming in and when helps the warehouse to prepare the items arrival , ensure they have the appropriate staff on site to receive the load and if any COD needs to be prepared they can have it ready therefore making the entire process much more efficient.

There are two different ways to receive good that are ordered thru the system. You can either receive items from a list of all open non-received products by vendor, or you can receive based on the individual purchase order. The staff at EZ Process pro will train you on the differences and help you determine which will work best for your operation. Providing your company with the flexibility of two options that are both extremely automated, each gives you a best fit scenario with each vendor With either method the receiving process is quick and easy. Barcodes can be sued to scan items as they arrive or you can simply adjust a drop menu quantity to identify how many of each item is being checked in, and how many are damaged. One more click to assign the location and you are done. You can even receive using barcode with the integrated barcode feature that comes with your system. There is no time consuming keying in of item umbers. EZ Process pro eliminates the keying because that is how mistakes are made and inventory becomes in accurate. An open to buy report is used to show you the dollars on order relate to open purchase order for both customers and stock. It can be organized to pull everything or just manufacturers and categories. It also helps you to determine future payables once all the goods on order arrive.

It can also be used to adjust showroom floor models. If a certain percent of your funds are allocated to a specific vendor’s product then it may make sense to allocate a comparable percent of your showroom to them as well to ensure the product moves.
